The Beginning: VegasCon was conceived by GameMaster Treveri as an event where we DragonRealms players could gather together for fun and merriment. He suggested an informal, unofficial convention that (if it becomes an annual thing) occurs in between the big SimuTronics conventions. The site of this convention (possibly the first of many) is Las Vegas! The time for this convention is February!

Cost: $25.00 U.S.
This cost will pay for the hospitality suite (gathering area) which will be open 24 hours a day. Food, hotel arrangements, and entertainment will be the responsibility of each attendee. If you have not payed already you must pay at the door.

Ok, we have resolution on the suite problem. For those not aware of what was going on, Excalibur screwed us. First of all, even tho we told them we needed a place that would hold 30 to 40 people, they had only booked us for a suite that would hold about 10.

Then, they called us to let us know that they had over booked, and we didn't have a suite at all.

Seems Frito Lay is having a convention there...and for some reason they felt making them happy was more important than making us happy. :/ Well, we'll all remember that for next year won't we?

Well, the Luxor came through for us. They are directly across the street from the Excalibur, and we told them the predictament we were in and how much money we had left. They worked with us and they are giving us a 1600 square foot (two-bedroom suite) at a price we can afford (about $600 a night).

No one will be staying in this room, so it will be the "official" meeting room for the con. We will assign door guards at the Con during registration on Friday...starting at 5:00. What I'll do is put out a sheet with two hour shifts on it and ask those of you that can to sign up for shifts to watch the doors and let only Con attendees in the room. So the sign up sheet will be first come, first served. :)

We're taking the suite on Friday Night and Saturday Night...so that's $1,200, add the meeting room at the Excalibur for $1,000 and that puts us at About $23 per person if we only had a 100 people coming. Since we have more than 100 coming, and I'm hearing rumors that 30 or 40 more are planning on coming at the last moment, it could shoot higher. It's my plan, unless someone is really opposed to it, to bring a coffee pot, and to have soda's on hand, and to pay for that out sign up fund.

If the rumors are true, and more people show up, then we should have more than enough money to pay for coffee and sodas and still come in well under the $25 per person.

It just so happens my family and I are staying at the Luxor Thursday night, then the Excalibur on Friday and Saturday nights. There's a GM thing going on Thursday afternoon, but later in the evening, you should be able to find me running around the casino in the Luxor or the Excalibur (keep an eye on the Crap Tables).

I am sorry for the mess up here...its not really my fault, but I do take responsibility for it, and I've tried to recover as best as possible...next year we'll just to with the Luxor from the start, they were much more accomodating, sympathetic, interested in our business, and "nice." Also, we learned a ton from this experience, so we'll start getting ready for VegasCon II in about June this next time. :)

Lastly, I went down to the PO Box today, and there were a dozen plus reservations there...so the boards are obviously not updated. I will try to get that done this weekend, but my focus is getting the name badges done up right now.

Believe it or not, we still have no resolution on the suite.

We are supposed to get an answer tomorrow.

All I know at this point is, we might want to make sure we check in and get connecting rooms! LOL!

On the price issue...I have no reason to believe this will cost more than $25 per person. In fact, at this point, until we resolve the suite...all we have is about a $1,000 charge for the meeting room on Saturday...so that works out to about $9 a piece. If we get this party room that might shoot back up to $20 to $25.

We *WILL* pull this off...if I have to have you all partying in my room!

The one nice thing about being in a room(s) instead of a hospitality suite is that we can bring in our own refreshments, something we weren't supposed to do in the hospitality suite.

I am sorry for all the confusion guys...this has been a learning experience for me, major-league! The next one will be better, and the one after that, and the one after that.

Just to make you guys aware...we're haiving problems with Excalibur ::sigh::

I have it in writing that we have a Hospitality Suite for Friday night, Saturday and Saturday night. This Hospitality Suite is supposed to handle about 30 people...this is what we asked for, this is what they told us we are getting, that is what is on the contract.

Now they are coming back to us and saying they don't have any Hospitality Suites that handle 30 people...the biggest they have will handle 10. They are saying if we need an area to handle 30 people that we have to go to a small banquet room. And that is $300 a day more.

I'm pissed off to no end. I keep asking them what the room in the contract for for $325 a day is for, and they can't answer me. They just flat say, "We don't know what they thought they were booking." But of course the person who booked us is no longer there.

This all stinks of them being sold out and us being a "small and insignificant group" they can chump. My wife and I am of course working the issue...but if they force me to the wall I need to know if we are all willing to spend the extra $300 a day (raising our costs $600 total..and cutting into your refunds by $6 bucks each) to get the 30 person banquet hall?

And for you skeptics, yes, there will be receipts for all to see. LOL!

Guys, there's not going to be a registration cut off. We've ordered the rooms, and there is no food, so you'll be able to register right up to Friday.

But for my own sanity, I'm asking that you guys register as soon as you can. I understand Xmas (believe me, with an 11 year old, do *I* understand Xmas)

The bottom line is we're almost there. The Con is only a little more than two months away. When we hit that magic number of 100 people paid, I'll be able to sleep nights. We're only a dozen or so from that.

Simutronics has donated some door prizes...we'll be having a drawing through out the Con, prolly at the beginning of each session...and giving away these door prizes. It's not a lot, but its something, and its very gracious of them to support us.

About two weeks before the Con...I'll be putting together the name badges...if you aren't registered by then, you'll simply get a hand written badge. BTW, please make sure your name is spelled correctly on the attendee list, these are the names, and the spelling I will use on the badges.

In an effort to save money here because we have NO BUDGET! Is there anyone local to Las Vegas that can supply a white board, stand, and markers for the meeting room on Saturday? Maybe borrow one from work?

An overhead projector and screen would be cool too! But I realize I'm pushing it there. :)

Please let us know if you'd be willing to be a volunteer...we'll need people to man the doors to keep other people out. Especially in the hospitality suite (yeah, we'll have name badges). If you can volunteer let us know if you want day time, evening, or graveyard. :P We'll keep the shifts to 2 hours each, no one will have to take more than one shift the entire weekend (actually its volunteering, no one has to take a shift at all).

If we can't get enough to cover, we'll focus on day and evening, or if we really can't get anyone, evenings. :P
